1. Who We Are

This Privacy Policy describes how SHSPJ Enterprises, LLC collects, uses, shares and protects information when you visit our website, contact our office, or use the forward room and systems design services that we provide. This policy is maintained by the developer SHSPJ Enterprises, and that developer is responsible for the practices described here. In this policy the terms we, us and our refer to SHSPJ Enterprises, LLC, and the terms you and your refer to any person or organization that visits the site or uses our services.

Our business address is SHSPJ Enterprises, LLC, 36 S State St Ste 1900, Salt Lake City - 84111-1478, United States (US). Our website is published at https://www.shspjent.lol. Our contact email address is forward@shspjent.lol and our contact telephone number is +14057254154.

SHSPJ Enterprises, LLC works in computer systems design and related professional, scientific and technical services. Alongside that work we operate a forward room, which is a mail desk that receives correspondence and parcels on behalf of clients, records them and sends them onward according to written instructions. This policy covers both the systems design work and the forward room, because the same small team runs both and the same records often serve both.

2. Scope of This Policy

This policy applies to information that we collect through this website and through the ordinary operation of our office and forward room. It applies whether you are a prospective client reading our service pages, a current client sending us instructions, a visitor who has written to our contact email, or a person whose name appears on a piece of mail that reaches our desk.

This policy does not apply to websites that we link to, to carrier services that handle mail in transit, or to any third party that you engage directly. Those parties maintain their own privacy practices, and we encourage you to read them. When we point you toward an external resource, we do so for convenience and do not control how that resource treats your information.

Where a written service agreement with a client sets stricter rules than this policy, the agreement governs that client relationship. This policy sets the floor of our practice, and we do not intend to lower that floor through individual arrangements. If two documents appear to conflict, the stricter protection for the individual applies.

3. Information We Collect

We collect only what we need to answer questions, run a forward desk and keep an honest record. The categories below describe the information we gather in the normal course of business.

  • Contact details that you provide, such as your name, email address, telephone number, organization name and postal address.
  • Message content that you send through our contact form, by email or by telephone, including any attachments or details you choose to include.
  • Service records for forward desk clients, such as the forwarding destination on file, hold instructions, scan preferences and the start and end dates of an arrangement.
  • Mail intake records, which list the date a piece arrived, the client it belongs to, the type of piece and the action taken on it.
  • Dispatch records, which note the date and time that outgoing mail left the room and the count of pieces in each bundle.
  • Billing details for clients who pay for services, limited to what is needed to issue an invoice and keep a tax record.
  • Technical information from ordinary web server logs, such as the time of a request, the requested page and a coarse location derived from a network address.

We do not ask for social security numbers, government identification numbers, financial account numbers or health records through this website. When a client chooses to receive correspondence that contains such details, our role is to forward or hold the mail as instructed, not to compile the contents into a separate database. The distinction matters and we keep it in view in everything we do at the desk.

4. How We Handle Mail and Parcels

The forward room receives mail addressed to clients at our State St suite. Handling mail means that we see the outside of every piece: the sender name, the recipient name, the return address and the postmark. That information is personal information in the ordinary sense, and we treat it as confidential.

We open mail only when a client has given written instruction for scan days or when the client asks us to check the contents of a particular piece. Outside those cases, sealed correspondence stays sealed and follows the forwarding route. Parcels are logged by size, weight and sender, placed in a dry hold bay and released only on the instruction of the client named in the record.

When a piece arrives for a person who is not a client, we hold it briefly and attempt to reach the intended recipient before taking any other step. If the piece appears to be misaddressed, we return it to the carrier where possible. We do not open mail addressed to another person, and we do not use the contents of any letter for marketing, profiling or resale.

5. How We Use Information

We use the information described above to answer inquiries, prepare and manage forward desk arrangements, forward and hold mail, dispatch outgoing correspondence, produce scans on agreed scan days, filter obvious advertising and reconcile records during a purge week. We also use information to issue invoices, meet tax and record keeping duties, and respond to lawful requests from authorities.

We use technical logs to keep the website running, to detect abuse and to understand which pages visitors find useful. We do not build advertising audiences from those logs. We do not sell personal information, we do not rent contact lists, and we do not trade client details for any commercial advantage.

We may use a client email address to send a short service notice, such as a change in forwarding destination, a parcel that is waiting beyond its hold window, or an upcoming purge week. These notices are operational and are part of the service. A client can ask us to stop sending non essential notices at any time, though we will still send messages that are necessary to carry out the service the client has requested.

6. Legal Bases for Processing

Where data protection law requires a legal basis, we rely on the following foundations. First, performance of a contract, which covers the handling of mail and the delivery of services that a client has asked us to provide. Second, our legitimate interests in running a small office responsibly, including keeping accurate records and protecting the room from fraud and misuse. Third, compliance with legal obligations, such as tax and record keeping rules. Fourth, consent, which we rely on for any optional communication that goes beyond the service itself.

When we rely on legitimate interests, we balance those interests against the rights of the individual and we limit the processing to what the task actually requires. When we rely on consent, the individual can withdraw that consent at any time by writing to forward@shspjent.lol. A withdrawal does not affect processing that took place before the request and does not affect processing that is needed to carry out an agreement.

7. Cookies and Local Storage

This website is built as a set of static pages with one small script. It does not set advertising cookies, it does not run third party analytics trackers, and it does not embed social media pixels. Your browser may store a small amount of information to render the pages correctly, and our server logs may record the usual request details as part of normal hosting.

If we later add a tool that uses cookies, we will update this policy before or at the time the tool goes live and we will describe the purpose of each cookie. Visitors who prefer to block cookies can do so in their browser settings without losing access to the written content of this site. Our contact form works without cookies because it hands the message to your own mail client.

8. Sharing and Disclosure

We share information only in the narrow cases described in this section. We share with service providers who help us operate, such as a hosting provider that stores the website files, a carrier that moves mail, a printing service that produces a scan or a mailing, and an accountant who prepares our tax records. Each provider receives only the information needed for its task and is expected to protect it.

We may disclose information when the law requires it, when a valid legal process demands it, or when disclosure is necessary to protect the safety of a person or to prevent fraud. We may also disclose information as part of a sale or reorganization of the business, in which case the receiving party must honor this policy for the information it receives.

We do not disclose client records to third parties for marketing. We do not share the contents of correspondence with anyone outside the room except as directed by the client or as required by law. If we are ever compelled to disclose a client record, we will notify the client where the law allows it, so the client can respond.

9. Carrier and Vendor Relationships

The forward room works with national and regional carriers to move mail onward. A carrier receives the outside of each piece, including the destination address, and applies its own handling rules. We choose carriers with reasonable service standards, but we do not control their internal practices, and we cannot promise that a carrier will never misroute a piece.

We ask vendors to sign terms that limit their use of client information to the task at hand. When a vendor cannot meet that standard, we look for another vendor. This is a deliberate cost for a small business, and we accept it because the trust of a client who leaves mail at our desk depends on the room being careful with every party that touches that mail.

10. Retention of Records

We keep contact records for as long as a person or organization is a client and for a reasonable period afterward, so we can answer questions and settle accounts. Mail intake and dispatch records are kept for the retention window agreed with each client, and in any case for the period needed to resolve a dispute or meet a record keeping rule. Billing records are kept for the period required by tax law.

Scans produced on a scan day are kept only long enough to confirm that the file reached the client inbox, and they are then deleted from our working storage. Website logs are kept for a short rolling period and are then discarded. Original documents that have been forwarded are no longer in our custody, and we do not keep copies unless a client asks us to.

When information is no longer needed, we dispose of it in a way that prevents reconstruction. Paper is shredded, digital files are deleted from working storage, and backup copies are allowed to expire on their normal cycle. We document the disposal so the record shows what was cleared and when.

11. The Quarterly Purge and Disposal

Four times a year the room runs a purge week. During that week we reconcile the trays against the records, identify mail that has passed its retention window, and prepare a written list of what we intend to release. That list is sent to each affected client before anything is cleared, and the client has a stated period to claim an item.

Items that remain unclaimed after the claim period are disposed of in a controlled way. Letters and documents that may contain personal details are shredded. Advertising and catalogues are recycled. Parcels that cannot be returned or delivered are handled according to the service agreement and, where relevant, the rules of the carrier that brought them. We do not resell unclaimed goods and we do not open sealed parcels during a purge.

The purge exists because a forward room without a disposal routine becomes a storage room. A clean record protects privacy, because forgotten mail is the kind of personal information that gets lost, read by the wrong person or kept longer than any client expects. The written list and the disposal note are our way of making the process visible to the clients it touches.

12. Security Measures

We protect information with the tools a small team can apply consistently. The office is locked outside working hours and visitors are admitted by appointment. Paper records are stored in a locked cabinet in the room, and digital records are held on systems that require individual credentials. Access to client records is limited to the staff who need it to run the desk.

We train staff on the handling of mail, the importance of not opening sealed correspondence and the steps to take when a piece is misaddressed. We keep operating systems patched and we review our vendor list each year. We do not claim perfect security, because no system has it, but we do commit to prompt action when a problem is found.

If a breach affects personal information, we will investigate, contain the harm where we can, and notify affected individuals and any required authority without undue delay. We will describe what happened in plain language, what information was involved and what steps we recommend.

13. Your Privacy Rights

You may ask us what personal information we hold about you, request a copy of it, ask us to correct an error, ask us to delete information that we are not required to keep, and ask us to restrict certain processing. You may also object to processing that we base on legitimate interests, and you may withdraw consent where consent is the basis we rely on.

To make a request, write to forward@shspjent.lol or call +14057254154. We will confirm your identity in a way that is proportionate, and we will respond within the period set by applicable law. We do not charge a fee unless a request is clearly excessive or repetitive, and in that case we will explain the reason before taking any action.

If we cannot fulfill a request, we will tell you why. Some records, such as a dispatch log tied to a tax record, must be kept for a set period, and we will explain the rule that applies. You also have the right to complain to a data protection authority in your jurisdiction. We would rather hear from you first so we can fix the problem at the desk.

14. Notice for California Residents

California law gives residents specific rights over personal information. In the past twelve months we have collected the categories of information listed in section three of this policy: identifiers such as name and contact details, commercial information such as service records, and internet activity such as ordinary server logs. We collect this information for the purposes described in section five, and we disclose it only to the service providers described in section eight.

We do not sell personal information and we do not share it for cross context behavioral advertising. California residents may request access, deletion, correction and a copy of the information we hold, and may ask us to limit the use of sensitive personal information. We will not discriminate against a person for exercising a privacy right, and we will not deny a service solely because a person made a request.

An authorized agent may submit a request on behalf of a resident, provided the agent can show written authority and we can verify the identity of the resident. Requests may be sent to forward@shspjent.lol or made by telephone at +14057254154. We aim to acknowledge every request promptly and to complete it within the statutory period.

15. Privacy for Children

Our services are designed for businesses and adults. We do not knowingly collect personal information from children under thirteen through this website, and we do not direct any part of the site to children. If a piece of mail addressed to a child reaches the forward room because a client has asked us to receive it, we handle that mail under the same rules that apply to all correspondence and we do not use the information for any other purpose.

If a parent or guardian believes that a child has provided personal information to us through the site, that person should contact forward@shspjent.lol. We will investigate and, where appropriate, delete the information. We will not ask a child for more information as a condition of responding to the request.

16. International Visitors

Our office is in the United States and our records are kept there. If you visit this site from another country, you understand that information you send to us will be processed in the United States under this policy and under United States law. The protections described here apply to every visitor, wherever the visitor is located.

When we transfer information across a border to a vendor, we use contractual terms that require the vendor to protect the information to a standard consistent with this policy. We review those terms when a vendor relationship begins and when the vendor changes how it handles data. If a transfer cannot be protected to that standard, we do not make it.

17. Changes to This Policy

We review this policy at least once a year and whenever we change how the forward room works. When we make a material change, we update the date at the top of the page and, where the change affects clients, we send a short notice to the email address on file. A visitor who returns to the site can always find the current version at this address.

We keep earlier versions in the office record so that we can answer a question about what the policy said at a particular time. If a change reduces a protection, we will not apply it retroactively to information collected before the change without a lawful basis. Continued use of the site after a change means that the current version applies to new information you provide.

18. How to Reach Us

Questions about this policy, requests about personal information and concerns about the handling of mail should go to the forward room. Write to forward@shspjent.lol, call +14057254154, or send a letter to SHSPJ Enterprises, LLC, 36 S State St Ste 1900, Salt Lake City - 84111-1478, United States (US). The desk answers during business hours, Monday to Friday from 9:00 to 17:00 Mountain Time.

We take every privacy question seriously and we answer in plain language. If you believe we have handled your information badly, tell us what happened and we will look into it. A clear complaint helps the room improve, and the door to the forward room is open to the people whose mail passes across the desk.

Summary: we collect only what the desk needs, we keep mail sealed unless instructed, we never sell personal information, we clear records on a published quarterly schedule, and any person can ask to see, correct or delete what we hold.
